A research proposal is judged before any research exists, so its references carry more of the argument than they will in any later document. They are the evidence that the question is open, that the method is sound and that the reading is current. A capstone project asks something different of its list: a client's brief, an industry report, a standard and an interview sit beside the journal articles, and each is cited by its own rule.
This guide, published by EdCitation, is about research proposal references and the sources a capstone project cites: what the references have to do, what three universities' proposal pages and one funder's guide ask for, how the annotated bibliography that often comes first is set out, the rules for citing a capstone's sources in APA 7, and how to check the proposal against its own brief. The dissertation that follows, with its instruments, software, datasets, preprints and examiners, is covered in managing dissertation references from proposal to submission.
What do research proposal references have to do?
Four jobs: show the gap, justify the question, source the method and its instruments, and show that the reading is current. The three university pages read for this guide ask for all four.
Show the gap and justify the question
The University of Leeds (n.d.) asks the context and literature section to "show awareness of current knowledge and debates", to refer to "key articles and texts", and to "explain where there is a gap in current understanding". Lancaster University (n.d.) puts the same demand as originality: the proposal must show that the topic "has yet to be studied", and its list of common pitfalls opens with "Failure to cite influential papers". The University of Sydney (n.d.) asks the expected research contribution to establish the work's importance by "convincing your audience there is a gap".
A gap is shown, not asserted. A claim that nobody has studied a question needs the citations that come closest to it, and a reader who knows the field will notice the one that is missing. EdCitation's Find sources is built for that search: give it the claim your gap sentence makes, and it searches about 300 million published works for the studies nearest to it, with a filter for years when the nearest recent work is what matters.
Source the method and show the reading is current
Leeds (n.d.) asks how the chosen methods "address your research aims, relating to current literature", so the method is cited too: the study that used it, the paper that introduced the instrument, the handbook for the analysis.
Currency is the fourth job. Leeds (n.d.) asks for references that are "relevant and up-to-date", and Lancaster's pitfalls include "Failure to keep up with recent developments". Neither page sets a year, and how many references an essay or dissertation needs reports that APA Style sets no age limit either.
What do proposal guidelines say about length, references and style?
They differ, and a proposal follows its own. The table holds what each page read today says.
| Guideline | Length | What the literature must show | References and style |
|---|---|---|---|
| University of Leeds (n.d.) | Not stated | Current knowledge and debates, key articles, the gap | "Use Harvard referencing style"; relevant and up-to-date |
| Lancaster University (n.d.) | "between 1500 and 2000 words" unless the entry requirements say otherwise | Key articles and texts; a topic yet to be studied | A bibliography: "a shortlist of references to key articles and texts" |
| University of Sydney (n.d.) | "Usually no more than 2000 words", but check the degree's own rule | "Significant studies and notable researchers", what is published, the gap | A bibliography of every reference made; no style named |
| National Science Foundation (2024), PAPPG 24-1 | No page limit for the references cited | Not covered by this section | All authors in order, titles, volume, pages, year, a URL if readily available; citations only |
| Your own guideline, through EdCitation's Check your paper | The word limits it states, part by part | How many sources and how recent, where it says | The style it names, each line with the sentence it came from |
Leeds names Harvard and the other two name no style, so a proposal to Sydney or Lancaster takes its style from the department or the supervisor, written down in the first week. Lancaster and Sydney cap the whole proposal near 2,000 words, while the NSF (2024) states there is "no established page limitation for the references", so whether the list counts towards the limit is a question for each guideline. The University of Birmingham's proposal page returned an error today, and the NIH application guide's bibliography section could not be read in full, so neither is claimed here.
How is the annotated bibliography before the proposal set out?
As a reference list in which each entry is followed by a note, in the style the course names. The Modern Language Association (2016) allows the entries to be ordered alphabetically by author or title, by date, or by subject, and titles the list "Annotated Bibliography" or "Annotated List of Works Cited". Its annotations are "generally written as succinct phrases", though sentences are allowed; phrase-style notes follow the entry directly, and sentence-style notes start on a new line with a paragraph indent. The notes "describe or evaluate sources".
APA Style's own page on annotated bibliographies could not be read for this guide: its address returned "Page Not Found" today and a second route was refused. How to write an annotated bibliography sets out the APA form from the template APA publishes.
Each note answers three questions the proposal will ask: what the source found, how, and where it stops. Lancaster (n.d.) lists "Failure to critically evaluate cited papers" among its pitfalls, and an annotation is where that evaluation is first written down.
How many references, and which ones?
No proposal guideline read today sets a number; the range comes from the brief, the department's past proposals and the supervisor, and how many references do I need gathers the figures universities do publish. What the pages say instead is what kind. Lancaster (n.d.) asks for a "shortlist" of key articles and texts, Sydney (n.d.) for "significant studies and notable researchers", Leeds (n.d.) for the relevant and up-to-date. That is three groups, and a good list has all three: the seminal work that defined the question, the recent peer-reviewed studies that carry the current answer, and the one or two sources the method rests on.
A reference inherited from an AI tool, a supervisor's slides or a previous student's proposal is unread until it has been looked up; why AI tools invent references has the failure rates. Paste such a reference into Verify references first, and treat anything that does not come back verified as still unread.
What does a capstone project cite that a proposal does not?
Reports, standards, datasets, software, a client's brief and interviews. The Rutgers University Electrical and Computer Engineering Department (2018) asks its capstone reports to cite the standards that shaped the design, giving IEEE 802.11, IEEE 1547, ISO 9001 and MIL-STD-498 as examples, to cite in IEEE style, to make sure "any sites used as sources are mentioned", and to list every work cited "and vice versa". National University's School of Business and Management (2014) runs a business client project as one of three capstone forms, requires APA, says "every statement of fact in the project ends with a citation", and requires ethics approval before research that involves people.
The table gives the APA 7 rule for each kind of source, read from APA Style's own pages today.
| Source | APA 7 rule | Where the rule is |
|---|---|---|
| Government or industry report | The agency that wrote it is the author; a parent body not in that name is the publisher; the report number in parentheses after the title | American Psychological Association (2020a), Publication Manual section 10.4 |
| Standard | The standard-setting body is the author; the year it took effect; the number in parentheses after the title, not in italics | American Psychological Association (2020b) |
| Client brief, email, memo, interview with a manager | In the text only, as a personal communication; never in the reference list | American Psychological Association (2022), section 8.9 |
| Your own research participants | Not a personal communication: quote them directly | American Psychological Association (2022) |
| Dataset, software | By its own record, with the version | The dissertation guide |
APA's own report example, copied exactly, is:
National Cancer Institute. (2019). Taking time: Support for people with cancer (NIH Publication No. 18-2059). U.S. Department of Health and Human Services, National Institutes of Health. https://www.cancer.gov/publications/patient-education/takingtime.pdf
A standard follows the same pattern with the number after the title, as in "(OSHA Standard No. 1910.95)" in the example American Psychological Association (2020b) gives. The trap is the year: for a standard it is the year it came into effect, 1970 in APA's OSHA example, not the year you downloaded it.
Citing a client brief and interviews
A client's brief, an email from the sponsor and an interview with a manager are cited in the text as personal communications, with initials, surname and as exact a date as possible, in the form "(T. Nguyen, personal communication, February 24, 2020)", and never in the reference list, because a reader cannot recover them (American Psychological Association, 2022). The same page adds a line capstone students cross often: people interviewed as participants in your own study are not personal communications, and their words are quoted directly as data. A brief the client has published on a web page is cited as a web page.
What changes between the proposal and the final report?
Three things, and each is where an inherited reference goes wrong. The proposal's references are carried into the report without being re-read, so an error in the proposal is repeated with the source now cited for more. The method's sources change: a later version of the instrument, an updated package, a re-released dataset, and the report must cite what was used, with the version. And the timeline the proposal promised becomes a record of what happened; a capstone report that departed from its brief cites the client's changed instructions as a dated personal communication.
How do I check the proposal against its own brief?
By reading the guideline or rubric into a checklist and ticking each rule against the file in the week before it is due; how to read an assignment brief and rubric shows how to pull the rules out of one.
- Write each rule of the guideline as one line: the length, whether the references count towards it, the sections in order, the style, and any words about currency or key texts. Pasting the guideline into Check your paper writes most of these lines for you; add any it has not picked up.
- Mark each rule met, not met or unclear; an unclear rule is a question for the supervisor this week. With the proposal uploaded, Check your paper marks its own lines met or not met, and the unclear ones are still yours to judge.
- For every claim that a gap exists, name the closest published work and check that it is cited; for every method and instrument, check that its source is cited in the version you will use.
- Check every reference against the publisher's record and change it to match; rebuild any wrong entry in Cite a source.
- Match each citation in the text to its entry, and each entry back to a citation, and screen the list for retracted papers. Verify references does both in one pass on the uploaded proposal.
- Sort the list into seminal, recent and method sources; if one group is empty, the reading is not finished.
- Apply the named style to every entry, and run the word count as the guideline defines it, with and without the list. In APA, Cite a source sets titles in sentence case and keeps names and initialisms; glance at any name made of ordinary words.
How EdCitation helps
EdCitation is the best tool for a proposal's references and its brief, because it reads the brief itself and looks every reference up in the publisher's record, never writing one, which no chatbot can do. Leeds (n.d.) asks a proposal to show the gap through "key articles and texts" and to keep its references "relevant and up-to-date"; a checklist built from that sentence, and a lookup of every reference on the list, is the check this guide describes, and it is free.
Check your paper reads the proposal guideline or rubric into a checklist, from the word limit of each section and the headings it requires to the number and age of sources, the style, and the page's font, spacing and margins, then marks each line met or not met against the proposal, beside the sentence it was read from; free, no account. Find sources covers about 300 million published works and can be searched by topic or by the claim a gap sentence has to support, filtered by kind of source, years and open access. Cite a source turns a DOI, PubMed ID, ISBN, title or web address into a reference in whichever of its six styles the guideline names, Harvard for Leeds among them, and screens the work for retraction, free. A free account keeps the reading list and the reference lists, each reference tagged (a tag per proposal section) and a single reference set in its own style where one must differ. Verify references takes the proposal as a file and returns each reference as verified, "check this" when doubtful, or not found, with a retracted paper flagged and "could not check" never shown as "not found"; it also checks that every citation in the text has an entry on the list and that every entry is cited somewhere, free. Pro, at $8 a month, adds References from a file, which does that matching inside the dashboard and, where a reference cannot stand, suggests published sources to replace it, and Mechanics QA for formatting against the style. Theoretics QA, part of Max at $24 a month (see pricing), judges the proposal against its own guidelines with quotations from the text, and never rewrites anything.
What it will not do: write any part of the proposal, give a grade, or promise approval.
Quick questions
What references does a research proposal need?
The ones that show the gap, justify the question, source the method and its instruments, and show the reading is current. Leeds (n.d.) asks for key articles and texts that are relevant and up-to-date; no page read for this guide sets a number.
Do the references count towards a proposal's word limit?
It depends on the guideline. Lancaster sets 1,500 to 2,000 words and Sydney about 2,000 without saying whether the bibliography is inside the count, and the NSF (2024) sets no page limit on the references cited. Ask, and count both ways.
How do I cite a client's brief or an interview in APA 7?
As a personal communication in the text only, in the form (T. Nguyen, personal communication, February 24, 2020), and not in the reference list (American Psychological Association, 2022). Participants in your own study are quoted directly instead.
What citation style does a research proposal use?
The one the guideline names, and otherwise the department's or supervisor's choice, written down. Leeds names Harvard, Lancaster and Sydney name none, and the NSF sets the elements each entry must carry rather than a style. When the guideline is long, EdCitation's Check your paper finds the style it names and quotes the sentence, and Cite a source then builds each entry in it.
