How to write to a word count: budget, cut and expand

Writing to a word count is a planning job before it is an editing job. Decide what each part of the essay gets before you draft, and the last evening becomes a trim rather than a rescue.

How do you plan a word budget for an essay?

Share the total out by section before you write, then share the body out by paragraph. The guides that give a figure agree closely, and each calls it a rough guide.

Kelly (2026), for the Shannon, turns 1,500 words into 150 for each end and four paragraphs of 300, and calls the figures estimates. Hull's library puts each end at about a tenth (University of Hull Library, 2026a) and says saving words in the conclusion never helps an essay (University of Hull Library, 2026b). Kent, Derby, Swansea, Victoria University and Canterbury give their figures in how to structure an essay.

Budget the body by what earns the marks

An equal share per paragraph assumes every point matters equally. Watson (n.d.), for Swansea University, describes an essay set three topics that spends 60% of its words on the first and 40% on the other two: the first is where to cut. If the criteria weight one part more heavily, give it more words; how to read an assignment brief and rubric shows how to find the weightings.

A budget in five steps

1. Find the limit, any tolerance and what counts, in the brief. Check your paper lists the limit with its source sentence.
2. Take about a tenth for each end, adjusted to your brief.
3. Decide how many points the argument needs and divide the body between them, weighted by the criteria.
4. Write each paragraph's word share beside its topic sentence in your plan.
5. Check the running total after each section, not at the end.

A PEEL paragraph keeps to its budget more easily, because each part has a job.

What counts towards the word count?

Whatever your brief or handbook says; institutions disagree about footnotes, quotations, tables and citations, as our dissertation word count guide shows. Where nothing is stated, the APA's checklist says to count every word with your word processor, except words inside figure images (American Psychological Association, 2021). Some rules count more than sentences: Auckland's law faculty counts footnotes, headings and tables in the text (University of Auckland Faculty of Law, n.d.). Budget for what your rule counts.

What does "10% either way" mean?

It means the essay may run from 10% under to 10% over the stated figure without penalty, but only where your institution says so. Many allow less, or nothing. The rules we read:

Over and under are not the same

The rules split on short work. SOAS University of London (2019) sets no penalty for it, since its assessments are designed so that excellent marks do not need the full limit, and Warwick's economists tell MSc students to use fewer words if they can. Sheffield, Morling College and the Warwick Classics module penalise it. Nor is a tolerance a target: Auckland's law faculty advises staying close to the limit rather than using its leeway.

When the brief is silent

Treat the stated figure as the ceiling; Anglia Ruskin University Library (2026) says in capitals that it allows no margin.

How do you reduce the word count when you are over the limit?

Cut whole points first, then sentences, then words. Watson (n.d.) warns that deleting single words "will only get you so far"; it will not lose you hundreds.

Cut at the level of the argument

The University of North Carolina Writing Center (n.d.-b) says every paragraph needs a purpose, and some must go however much research sits behind them. Watson adds three moves:

• Merge or demote. A point off the main route becomes a sentence elsewhere, or a footnote where footnotes are not counted.
• Cut description before analysis. Students spend more words describing than analysing, and analysis earns the higher grades; critical writing against descriptive writing shows the difference.
• Set the scope. Say in the introduction what the essay leaves out, and why.

Another Swansea page targets repetition: removing points made two or three times cut about 30% of its example paragraph (Swansea University Centre for Academic Success, n.d.).

Then cut sentence by sentence

The APA's checklist asks writers to remove wordiness, redundancy, circumlocution and overuse of the passive; the writing centres show how.

The passive is not always wrong (academic tone), and one hedge on a claim is often the honest one (hedging): cut stacked hedges, not all of them.

A worked example: a paragraph cut from 182 to 118 words

The paragraph and its cuts are ours; the two rules it reports are real, read at source. Before, 182 words:

It is important to note that universities have many different policies with regard to word limits, and each and every one of them sets its own particular rules. In the event that a student goes over the limit, the consequences can vary quite considerably from one university to another. For example, at SOAS, work that is more than 10% over the word count loses 10 percentage points, and work that is more than 30% over the word count is given a mark of zero (SOAS University of London, 2019). The Faculty of Law at the University of Auckland, on the other hand, allows a leeway of 5% above the limit, and the reason it gives for this leeway is so that students are not penalised for accidentally going over the limit by a few words (University of Auckland Faculty of Law, n.d.). What this basically shows is that a tolerance is actually a safety margin that exists for small errors in counting, and it is not really intended to be an extra allowance of words that students should plan to use up.

The cuts, with the words each saved:

1. "It is important to note that": empty opener, deleted. 6.
2. The first sentence said one thing twice, with "each and every" and "with regard to": now "set their own rules on word limits". 14.
3. "In the event that a student goes over the limit, the consequences can vary quite considerably": now "the penalty for exceeding one varies widely", joined to the first sentence. 8.
4. In the SOAS sentence, "that is" went twice and "the word count" once, and once became "the limit": the reader knows what it is over. 8.
5. "and the reason it gives for this leeway is so that" became "so that", and "going over the limit" became "exceeding it". 11.
6. The last sentence lost "What this basically shows is that", "actually", "that exists", "really" and "it is ... intended to be": qualifiers and empty clauses. 17.

After, 118 words:

Universities set their own rules on word limits, and the penalty for exceeding one varies widely from one university to another. For example, at SOAS, work more than 10% over the limit loses 10 percentage points, and work more than 30% over is given a mark of zero (SOAS University of London, 2019). The Faculty of Law at the University of Auckland, on the other hand, allows a leeway of 5% above the limit so that students are not penalised for accidentally exceeding it by a few words (University of Auckland Faculty of Law, n.d.). Both rules, both citations and the conclusion survive; 64 words said nothing.

How do you increase the word count without padding?

Develop what is there before adding anything. Markers notice padding: Warwick's economics handbook says they are "wise to" bibliography padding, references listed but never cited (University of Warwick Department of Economics, n.d.), and Auckland's law faculty treats invisible hyphens that shrink a count as a possible breach of academic integrity.

Explain every piece of evidence

The UNC Writing Center (n.d.-a) builds a paragraph from its controlling idea through examples to an explanation of each, and says no example should be left unexplained. A short essay usually has quotations and figures with nothing after them saying what they show. Write that sentence.

Add analysis, not description

Swansea's advice runs in reverse: a short essay usually lacks analysis. Compare two sources that disagree, say why one is stronger, or name a limit of the evidence.

Add a point only if the argument needs it

If the essay is still short, the argument may lack a step or an objection. Type that missing claim into Find sources, which covers about 300 million published works, and read what supports or disputes it. A long quotation adds words, but none of your analysis.

What Check your paper returned on two real briefs

We pasted two published briefs into Check your paper on 26 September 2026.

The first, with a tolerance, was the assessment page for Warwick's module on warfare in ancient Greece (University of Warwick Department of Classics and Ancient History, 2010). It returned two rules: a word count with a target of 2,500, from "length 2,500 words, including footnotes, but excluding bibliography", and a required reference list, from the sentence asking for "a bibliography of works cited". The sentence that turns "c. 2,500" into 2,250 to 3,000 words was set aside with five others, so the range is yours to carry over. The penalty for short essays appeared in neither list.

The second, with a word range, was Boiko's (2018) investigative essay for MIT's 21W.035. It returned three rules: 2,500 to 3,000 words, double spacing and at least 8 sources. The first-draft instruction, at least 6 pages, was set aside with four other sentences, among them the 3 to 4 section headings and Nature-style citations, which EdCitation does not build.

Given Sheffield's 5% policy as well, it read "at most 3,000 words" from the policy's example and did not turn the band into numbers. Read any tolerance yourself.

The rest of the job

Paying for a year at once saves 25% on either plan (pricing). Keep your own count, as your rules define it. No tool can promise a mark.

Quick questions

Can I go 10% over the word limit?

Only if your brief says so. SOAS and Morling College allow 10% either way, Sheffield's School of English 5%, and Anglia Ruskin nothing.

Is it bad to be under the word count?

It depends on your rules. SOAS and Auckland's law faculty set no penalty for short work; Sheffield's School of English, Morling College and a Warwick Classics module do.

How long should an essay introduction be?

About 10% of the total, in the Shannon, Newcastle, Hull and Westminster guides; Anglia Ruskin says 5 to 10%. Your brief overrides them.

What is the quickest way to cut an essay's word count?

Remove or merge whole points and repeated ideas, then wordy phrases. Sentence cuts alone took our example from 182 to 118 words.
