A marker reads (Aitken et al., 2014) on page two, turns to the list and finds only Aiken. Another finds 2010 in the text and 2011 in the list. Neither slip touches your argument, and both say nobody checked the paper against itself.
In-text citations that do not match the reference list are easy to fix and easy to miss, because you read your citations as you meant them. This guide from EdCitation gives the rule in each of the six styles we offer, how the two ends drift apart and what three universities do about it, then shows what Verify references, free and with no account, found in a paper we broke on purpose.
What does it mean for citations to match the reference list?
It means two checks pass: each citation points to exactly one entry, and no entry goes uncited anywhere in the paper. The American Psychological Association (2022a) states both halves in one sentence and adds the condition where most real mismatches live: each author's name and the date must be spelt the same in the citation and the entry. Its page on the author-date system adds that a citation must correspond to only one entry (American Psychological Association, 2019).
"Anywhere" is wider than the body text: APA counts a citation in a table, figure, footnote or appendix. Numbered styles pair citation and entry by number, which moves the risk from spelling to counting.
Which rule does each citation style set?
All six require the two-way match; they differ in how a citation finds its entry and in what needs no entry.
| Style | Rule read at | How a citation finds its entry | Cited in the text, with no entry |
|---|---|---|---|
| APA 7 | APA Style site | Surname and year, spelt the same | Personal communications; the original behind "as cited in" |
| MLA 9 | MLA Style Center | The entry's first element: author, or title when the entry opens with it | Nothing special: an email you cite takes an entry |
| Chicago 18 author-date | Chicago Manual of Style Online | Surname and year | Personal communications, usually; readers' comments |
| Harvard (Cite Them Right) | Newcastle, Robert Gordon and De Montfort guides | Surname and year | The original behind "cited in"; personal communications vary by guide |
| IEEE | IEEE Author Center; Victoria University | A number, in order of first citation | Nothing: a private communication takes a numbered entry |
| Vancouver | ICMJE recommendations | A number, in order of first mention | Personal communications, named in brackets in the text |
Author-date styles: the name and the year
Three of the six, APA, Chicago author-date and Harvard, pair citation and entry by surname and year. The University of Chicago Press (n.d.-b) says an author-date list must include every work cited; its sample citations usually keep personal communications in the text only and leave readers' comments out of the list (University of Chicago Press, n.d.-a). For Cite Them Right Harvard, whose own site is by subscription, Newcastle University Library (2025) says the list holds full details of everything cited.
MLA uses no year: a citation opens with whatever opens the entry (Modern Language Association, 2021). So when an organisation is both author and publisher, the entry begins with the title, and a citation giving only the organisation's name keys to nothing (Modern Language Association, 2016).
Numbered styles: the number and the order
IEEE and Vancouver number sources in the order first cited and reuse a number when a source returns. Victoria University (2026) warns IEEE students that editing a citation can mean renumbering the whole list, and ICMJE numbers a source cited only in a table by where that table is first mentioned. One disagreement: IEEE's own guide says references need not be cited in the text (IEEE, 2025), while student guides such as Victoria University's build the list from the citations. For coursework, the course guide is the one you are marked against.
Personal communications, where the styles split
APA keeps emails, conversations and unrecorded lectures out of the list because a reader cannot retrieve them (American Psychological Association, 2022b). Chicago usually does the same, and ICMJE wants the person's name and the date in brackets in the text. MLA gives an email you cite an entry (Modern Language Association, 2024), and IEEE a private communication. Harvard guides split: Robert Gordon University (2026) supplies a template for the list, while De Montfort University (2024) says such sources stay out because they cannot be traced, then supplies a template anyway. Follow your university's guide.
How do citations and the reference list drift apart?
They drift in editing: each pair starts matched, and one end changes without the other.
A source added late
A sentence and its citation go in during the last week, and the entry is left for later. Or the reverse: a passage is deleted and its source lingers in the list. In a numbered style a source added in the middle moves every later number, and IEEE (2025) warns that the citations in the text must be renumbered too.
A year changed in one place
You correct an entry from the record and forget the citation. A paper can honestly carry two years: IEEE (2025) dates an early access article by its date of publication and an article in an issue by the issue's date, so a reference saved early and checked late can disagree with itself. Let the record decide, then set both ends to it.
A name spelt two ways
Aiken becomes Aitken, a particle such as van changes case, an accent drops. IEEE's editorial manual asks authors to check any name in the text against the list (IEEE, 2024). Most citations show only the first author, so that name must agree letter for letter.
Et al. against the full list
APA cuts a work by three or more authors to the first surname plus "et al.", starting with its first citation (American Psychological Association, 2019), and Chicago 18 does the same in the text. Cite Them Right Harvard names up to three and uses "et al." from four, while its list keeps every author up to ten (Newcastle University Library, 2025). Five names written out where the style wants "et al." still find the entry but break the style; the thresholds are in when to use et al..
A secondary citation
In APA the entry is for the source you read, and the original is named in the text before "as cited in" (American Psychological Association, 2022c); Newcastle's Harvard sheet agrees. Listing the original you never opened claims a reading that did not happen, and citing the original alone leaves a citation with no entry.
What do markers do about a citation missing from the reference list?
Universities treat a mismatch as a referencing fault and a pattern of them as poor practice. Three published policies show the range.
- University of Liverpool. Staff guidelines class minor referencing mistakes as a minor error, with a penalty of up to 10% of the maximum mark, and inadequate referencing as poor academic practice, with the mark capped at the minimum pass: 40 for undergraduates, 50 for postgraduates. The examiner judges the quality and accuracy of the referencing and citations (University of Liverpool, 2024).
- University of St Andrews. Its guidance counts an incorrect citation as falsification, and says falsification can include listing sources not used to prepare the work (University of St Andrews, 2026).
- University of Sussex. Its skills hub tells students to confirm before submitting that every citation appears in the reference list (University of Sussex, n.d.).
None sets a number of slips at which a fault becomes poor practice. That is the marker's call, so find every mismatch first.
How do I check citations against the reference list by hand?
Make two columns, citations on the left and entries on the right, and draw a line for every pair:
- Finish editing first. A paragraph cut after the check undoes it.
- Collect every citation. Use Find for each year in your list, then for "et al.", "as cited in" and "personal communication"; in a numbered style, for "[". Note where each sits.
- Pair each with one entry. Compare the first author's surname letter by letter, particles, hyphens and accents included, then the year with any a or b.
- In a numbered style, check the order. First appearances should run 1, 2, 3 without a gap, and the highest number should equal the number of entries.
- Clear the exceptions against your style's row in the table above.
- Read down the entries for any without a line. Add a citation where that source shaped your text, or take the entry off.
- Where a name or year differs, open the record. The DOI settles which end is wrong, and Cite a source rebuilds the entry from it.
Steps 2 to 6 are what EdCitation's Verify references does from one upload of the whole paper, and it makes the lookup in step 7 for every entry.
What does Verify references do with a whole paper?
Verify references reads each citation in your text and finds its entry, reads each entry and finds where it is cited, then checks every reference against the publisher's record. Upload the whole paper, not only the list, so both directions run.
For this job it is the best tool there is, because it tests both ends against something outside the paper. A citation and its entry can agree with each other and both be wrong; a lookup catches that, and no chatbot makes one. ICMJE's recommendations put the duty on authors to check each reference in PubMed or a similar bibliographic database, or in the original (International Committee of Medical Journal Editors, n.d.), and that is the lookup EdCitation makes for every entry, free and with no account.
- Citations against the list, both ways: a citation with no entry, an entry never cited, a year that differs, a broken et al. rule, each with its paragraph and a fix.
- Every reference against the record: each comes back verified, marked "check this", or not found; retracted papers are flagged, and an index that did not answer shows as "could not check", never as "not found".
What did Verify references find in a paper we broke on purpose?
It found all four mismatches we made, each in the paragraph where we made it. The example was built for this demonstration: a copy of the site's sample paper, a four-page APA essay on nurse staffing with five references, changed in four places. We uploaded it on 23 September 2026 with APA chosen.
| What we changed in the copy | What Verify references reported | Where |
|---|---|---|
| Spelt Aiken as Aitken in a citation | "In-text citation “Aitken et al., 2014” has no entry in the reference list." | ¶ 11 |
| The same slip, seen from the list | "Reference “Aiken, L. H., Sloane, D. M., Bruyneel, L., Van den Heede, K., Griffit…” is never cited in the text." | ¶ 17 |
| Changed Needleman's year to 2010 in the text only | The reference list "has Needleman as 2011" | ¶ 11 |
| Wrote out all five authors of Hall's 2016 review | "the entry lists 5 authors", with the advice to cite as “Hall et al.” | ¶ 13 |
| Cited McHugh et al. (2021), a real study in The Lancet, without adding its entry | "In-text citation “McHugh et al., 2021” has no entry in the reference list." | ¶ 15 |
The summary line read "6 in-text citations · 5 entries · 2 orphan citations · 1 uncited entry." (its word for a citation without an entry is an orphan). For the year, the fix given was "Make the in-text year match the entry (or the entry the source)", the same order of trust as step 7. The report also flagged a lower-case word after the colon in the Aiken entry's title, a slip in the original sample, and found Thompson and Alvarez (2021) in no record, as in our run of the unaltered paper.
One slip, two findings
The misspelt name shows why the match runs both ways. From the text's side Aitken has no entry; from the list's side Aiken is never cited. Two findings about one source usually mean a spelling slip, and the fix given covers both: "correct the surname in the citation".
Two citations APA keeps out of the list
In a second copy built the same day, we added an APA personal communication, (J. Marker, personal communication, March 3, 2026), and turned one citation into an "as cited in" citation of an unlisted original, (Smith, 1999, as cited in Kane et al., 2007). Verify references reported neither as a mismatch: its summary read "5 in-text citations · 5 entries · 0 orphan citations · 0 uncited entries", counting the second as a citation of Kane et al., the source actually read. That is APA's rule. The communication and the original get no entry, and the secondary source's entry is the one the list must keep (American Psychological Association, 2022b, 2022c). The only other finding in that run was the title slip already in the sample. Harvard guides differ on personal communications, so check yours.
When is References from a file the better check?
When the paper has drafts still to come. References from a file, part of EdCitation Pro at $8 a month, runs the same citation match in the dashboard and keeps your paper in My papers, so a second run shows what changed since the first. It also puts forward published sources in place of any reference that cannot stand, which is what the unfound entry in our copy needed. Without Pro, a free account gets three of these checks a month (pricing); for a single check before a deadline, Verify references is enough.
Mechanics QA, also on Pro, matches each citation to the list alongside formatting, numbers and language. For a citation whose source never reached the list, Find sources finds published work for the sentence and Cite a source turns its DOI into the entry. Writing the citations is covered in APA 7 in-text citations, and what each list holds in reference list, bibliography or works cited.
Quick questions
Does every in-text citation need an entry in the reference list?
Almost every one. APA keeps personal communications and the original behind "as cited in" out of the list; MLA and IEEE give personal communications entries, and Harvard guides differ.
What should I do with a reference that is listed but never cited?
Add a citation where the source shaped your text, or remove the entry. The University of St Andrews says falsification can include listing sources not used to prepare the work.
How do I fix a year that differs between the citation and the entry?
Open the source's record by its DOI, set the entry from it, then change the citation to match. EdCitation's Cite a source rebuilds the entry from the DOI in six styles.
Can I check that my citations match my references for free?
Yes. Upload the whole paper to EdCitation's free Verify references, with no account: each citation is paired with an entry, each entry traced to a citation, and each reference checked against the publisher's record.
