Formatting is the part of marking that takes time without deciding much. A marker who stops at every single-spaced reference list is doing by eye, script after script, a job with right answers, and reaches the argument already tired.
To mark APA formatting faster, take it out of the reading. This guide, published by EdCitation for markers, instructors, teaching assistants and professors, sets out what APA asks of a student paper, what rubrics give it, and a method: rules checked apart from judgements, and rules answered from a shared comment bank. Then it runs EdCitation's Mechanics QA on a sample paper. The tool reports findings; it does not mark, and the grade stays with you.

What does APA 7 require of a student paper, and what does it leave to you?
A short list of layout rules, with most of the rest left to the instructor. APA's beginner's student paper checklist (American Psychological Association, 2023) asks for one legible font at one size, double spacing throughout, 1 in. margins, a page number top right on every page, and a title page. The title is repeated in bold on page 2 with no "Introduction" heading, and the reference list starts on a new page under a bold, centred label, alphabetical, with a 0.5 in. hanging indent.
Its citation items are as checkable: every source cited is in the list, every entry is cited, and names and years match. Its writing items, such as cutting wordiness and paraphrasing, are not.
What the instructor may set differently
APA's setup guide states that instructors' guidelines supersede APA Style (American Psychological Association, 2025), and its sample papers page says APA "does not set formal requirements for the nature or contents" of a student paper (American Psychological Association, 2026b). Five points are yours, and a student cannot guess them:
- Running head: not required unless the instructor or institution requests one (American Psychological Association, 2022b).
- Abstract and keywords: not required, though an instructor may ask for them in a longer paper (American Psychological Association, 2026b).
- Length: APA recommends a word count over a page count, since fonts take different space (American Psychological Association, 2026a).
- Tables and figures: embedded in the text, or at the end if the instructor requires it (American Psychological Association, 2025).
- Course details: written as on your course materials (American Psychological Association, 2023).
Put all five in the brief. Each one left unsaid becomes a judgement made again on every script.
How much of the mark do APA formatting and referencing carry?
About a tenth in the published rubrics read for this guide, though one paper on teaching APA argues for more.
City, University of London (2026) publishes marking templates for staff to adapt, in which "Presentation and Referencing" carries 10% of a level 5 mark, in steps of 2.5, from 10% for "accurate referencing using a recognised referencing system" to 0% when referencing is incomplete. The same line carries structure, English and grammar, and its 7.5% and 5% bands both describe small referencing errors: the writing separates them.
The University of Maine School of Nursing (n.d.) gives APA format 10 of 100 points in its graduate scholarly project grading rubric, by count: no errors earns 10, up to two earns 8, up to five earns 6, more than five earns 4. Grammar is a separate 10. The University of Reading (2026) recommends giving 10 to 15% of a mark in Foundation and Part 1, and 5 to 10% later and at taught postgraduate level, to clear communication: structure, register, vocabulary, spelling, punctuation and grammar.
Mandernach et al. (2016) suggest more: 15 to 20% of the grade for documenting sources and APA format, so that students take it seriously. Where your department's criteria set a figure, they win.
Where the errors actually are
Mandernach et al. (2016) asked 135 faculty, at an institution requiring APA in every undergraduate course, how often they saw 17 kinds of APA error. On a four-point scale, the format of in-text citations averaged 3.39 and the reference list 3.31, against 2.58 for the page header and 2.55 for page set-up. The minutes belong with the citations; a line worth a tenth of the mark should not take half the marking time.
Which parts of APA formatting can be checked by rule, and which need judgement?
Most of it is rule: a paper has 1 in. margins or it does not. What needs you is what the student did with the sources.

Why marking the two apart is fairer
Mechanics sway judgements of content. Rezaei and Lovorn (2010) had raters grade prepared samples, one polished but not fully answering the question, the other answering it with errors in structure, spelling, grammar and punctuation. Raters were significantly influenced by the mechanics rather than the content, even with a rubric.
Rules marked alone can be marked alike. Franz and Spitzer (2006) scored papers for adherence to APA style only, ignoring the prose, blind to class and to whether a paper came before or after teaching, and their two sets of ratings correlated at r = .96. Kept apart, the rule-based half is one two markers can agree on; mixed into the reading, it tilts it.
How do I mark APA formatting faster, script by script?
Settle the rules once for the pile, check them first on each script, then read the argument.

What should rule-based feedback on referencing and format say?
Where the paper stands against the rule and what to do next, in the same words for every student with the same slip. Mandernach et al. (2016) recommend pre-set comments for errors students repeat. Tijou et al. (2026) built shared Turnitin QuickMarks for consistency in feedback with psychology staff at two universities: staff in the first phase reported that common comments made marking more efficient, students responded mainly positively but needed support to act on them, and getting every marker to use the common set was still to be done.

Keep the comment and the mark apart
The comment states the rule and how to meet it. What the slip costs is your decision under your rubric, and no tool makes it. "Minus two for spacing" teaches the price, not the rule.

Font, spacing, margins and title page raised nothing, nothing was left in the file, and the numbers raised nothing.
Reading the report as a marker
The heading and the lower-case "a" are rule findings: they go into the feedback from the bank and cost what your rubric says. The must-fix finding is different in kind. Its wording is for a student checking their own paper; for a marker it is where a hand check starts. Search the title in Crossref and the journal's archive, ask the student for a copy, and follow your institution's procedure, as how to spot fabricated references in student work sets out. What the report leaves to you
Two sentences in the sample make claims with no source: that heavy workloads are a main cause of burnout, and that minimum ratio laws are worth what they cost. Whether they needed citations, and whether the pooled analysis cited in paragraph 11 supports its sentence, are judgements the report did not raise, because none is a rule. That is what the time saved is for.
