This guide is published by EdCitation, and it gives EdCitation's view of when to use APA style and when it is the wrong choice. The view is ours. The facts under it were each read on 23 September 2026 at the page of the body that sets the style, or at a university's own page, and anything that could not be read is named.
The short version: APA suits writing that reports or weighs research, because it puts the year of every source into the sentence that relies on it. Where a reader needs the exact line of a text, an archive, or a numbered chain of sources, another style serves better. And the style your brief names beats everything below.
The three main styles are compared side by side in APA vs MLA vs Chicago. This guide argues for one of them, and says where it stops.
Why does APA put the year beside the author's name?
Because APA was made for fields in which the age of a finding changes what it is worth. That is our reading, and the style's history supports it. APA Style began in 1929 as seven pages in Psychological Bulletin, agreed by psychologists, anthropologists and business managers who wanted scientific writing easier to read. The American Psychological Association (2026) still says that where style manuals disagree, its own takes precedence for APA publications, because it rests on psychology's needs.
The American Psychological Association (2019) calls its method the author-date citation system. Every work appears twice, as a short citation in the text and a full entry in the reference list, and the year in the text must match the year in the list.
The University of Chicago Press (n.d.), whose manual offers both author-date and footnotes, states the reason most plainly: the sciences and social sciences favour author-date because it names researchers in the text while "emphasizing the date of each source".
What the year lets a reader do
In a literature review, the year is a timestamp on every claim. A reader who meets a finding from 1998 beside one from 2024 knows, without opening the list, which is the older consensus and which the recent challenge. APA's in-text checklist makes the year part of every citation of a paraphrase, not only of a quotation (American Psychological Association, n.d.-b), so the date never leaves the sentence. In our view, that is the strongest reason to choose APA when the choice is yours.
What the year does not tell a reader
A recent year is not a sound finding, and an old one is not a weak one. A study from the 1970s may still be the right source, and last year's paper may have been retracted. The year shows currency; judging the evidence is still the writer's job.
Who uses APA style?
Psychology first, then a wide circle of fields that research people and organisations. APA names them itself, in two places that do not quite agree.
- The About APA Style page, last updated in June 2026, names psychology, nursing, business, communications, engineering and related fields, and says the manual now serves the social and behavioural sciences, health care, the natural sciences and the humanities (American Psychological Association, 2026).
- The introduction to the seventh edition of the Publication Manual names psychology, then fields from nursing and social work to communications, education, business and engineering (American Psychological Association, 2020).
Education appears in the manual's list but not on the About page. Both name engineering. Our view: these lists show where APA is used, not where it fits best. Engineering has a numbered style of its own, and the humanities have MLA and Chicago.
What two departments say
Universities set a style department by department, and two pages read today word it very differently.
- The School of Education at Colorado State University Pueblo (n.d.) says education writes in APA style, and tells graduate students that every professor requires the full seventh-edition manual.
- The psychology department at the University of Wisconsin-La Crosse (n.d.) leaves the extent of APA to each instructor: one course wants a research paper set out as if for publication, many want APA citations and references, and some papers need no APA at all. When unsure, it says, assume APA 7 and ask.
The second is the useful lesson. Even in psychology, "APA" can mean the whole paper format or only the citations, and the brief says which. Subject detail is in our guides for psychology students and nursing students.
Which kinds of work suit APA?
Work that reports research, reviews it or argues from it, where the reader must weigh how recent each source is.
- Empirical papers and lab reports. The seventh edition carries reporting standards for quantitative, qualitative and mixed methods research (American Psychological Association, 2020). The layout is in APA 7 format, section by section.
- Literature reviews. The years show the shape of a field at a glance: what was settled early, what is new, where the gap is.
- Evidence-based essays in nursing, education and social work, where the argument turns on the most recent evidence.
- The student papers APA describes: annotated bibliographies, response papers, dissertations and theses, with a student title page of their own.
When is APA the wrong choice?
When the reader needs something the year cannot give. These are our views, each argued from the other style's own account of what it is for.
Close reading of a novel, a poem or a play
Use MLA. The Modern Language Association (n.d.-a) was founded in 1883 and works to strengthen the study and teaching of languages and literatures. It describes its style as standards that help writers find and evaluate information and show readers why their findings can be trusted (Modern Language Association, n.d.-b). Its citation is built around the passage: when a specific part of a work is quoted or paraphrased, the Modern Language Association (2021) requires the page, line or other location, when the work has one.
APA leans the other way. Its checklist asks students whether they paraphrased as much as possible rather than quoted, and a paraphrase needs only author and year (American Psychological Association, n.d.-b). APA does ask for a page with each direct quotation, so a literature essay can be written in APA. But an essay about the wording of a sonnet lives on quotation and location, and the year of the edition you read says nothing about the poem.
History and work built on archives
Use Chicago notes and bibliography if the course allows it. The University of Chicago Press (n.d.) calls it Chicago's oldest and most flexible system, able to take unusual sources that do not fit author-date, and says many in literature, history and the arts prefer it. A letter in a record office or an undated pamphlet can be described in full in a footnote, where the reader needs it.
EdCitation does not build notes and bibliography. Cite a source builds Chicago 18 author-date only, so a footnoted essay has to be set out from the Chicago manual. Author-date is covered in the Chicago author-date referencing guide.
Engineering and computing
Use IEEE where the course or venue sets it. IEEE cites by a number in square brackets, reused each time the source returns, with the list in order of first citation, as the IEEE referencing guide sets out. In a report full of equations and part numbers, [1] interrupts less than a name and a year. APA does list engineering, so an engineering brief that names APA is not a mistake. Follow it.
Medical and biomedical journals
Use Vancouver where the journal or course sets it: the numbered style behind the medical journal editors' recommendations, with formats from the US National Library of Medicine, as the Vancouver referencing guide explains. Nursing and health courses may set APA instead, and then APA is right.
Any course or journal that names another style
Then that style is right, whatever the subject. APA itself tells students to follow their instructor or institution on the title page (American Psychological Association, n.d.-a), and Chicago tells students to ask their instructor before choosing a system. For a manuscript, the journal's instructions for authors decide.
Which style suits which kind of work?
Our summary of the sections above. A brief that names a style overrides every row.
| Kind of work | Style that suits it | Why, in short | Does EdCitation build it? |
|---|---|---|---|
| Lab report or empirical paper in psychology or social science | APA 7 | The year sits beside each finding | Yes |
| Literature review or evidence-based essay | APA 7 | Currency visible at a glance | Yes |
| Business report | APA 7, or Harvard where the university sets it | Both are author-date | Yes, both |
| Close reading of a novel, poem or play | MLA 9 | Points to the page or line | Yes |
| History essay built on archives | Chicago notes and bibliography | Footnotes suit unusual sources | No: Chicago author-date only |
| Engineering or computing report | IEEE | Numbers keep technical prose readable | Yes |
| Medical journal manuscript | Vancouver | The medical journals' numbered style | Yes |
| Anything whose brief or journal names a style | The named style | It is what is marked | Yes, if one of the six |
What changed in APA 7 that students notice?
The seventh edition of the Publication Manual, dated 2020, changed what a marker sees first. APA's undated guide to what is new lists these (American Psychological Association, n.d.-a):
- Et al. from three authors, from the first citation. The sixth edition named a three-author work in full the first time; now (Smith et al., 2019) serves from the start. The manual's introduction presents the shorter citation as part of its accessibility work, lighter to write and to read, screen readers included (American Psychological Association, 2020). More in when to use et al..
- Up to 20 authors in the reference. With 21 or more, the first 19, an ellipsis, then the last.
- No publisher location, and no publisher at all when it is the same as the author.
- DOIs as links beginning https://doi.org/, with no "DOI:" label, and "Retrieved from" only when a retrieval date is needed. See what is a DOI.
- A student title page, with course, instructor and due date and no running head, unless the instructor or institution asks otherwise.
- Bias-free language, updated on age, disability, gender, racial and ethnic identity and sexual orientation, with new guidance on participation in research, socioeconomic status and intersectionality. The singular "they" is endorsed.
One APA page, on paraphrasing, was behind a security check when we tried to read it, so the page-number rule above comes from APA's checklist instead.
Which style should I use for this assignment?
Stop at the first step that gives an answer.
- Read the brief, rubric and module handbook. A named style and edition is the answer.
- Writing for a journal? Its instructions for authors name the style.
- Brief says only "Chicago"? Ask which system. EdCitation builds author-date, not footnotes.
- Nothing named? Ask the tutor.
- Check the department's guidance page, like the two above.
- Still nothing? Use the table, and APA for research in the social and behavioural sciences.
- Keep one style from the first citation to the last entry.
How does EdCitation help, whichever style the brief names?
Cite a source is the best tool for building an APA 7 reference, because it looks the work up in the publisher's record instead of writing the reference from what someone typed. Give it a DOI, a PubMed ID, an ISBN or a title, and it builds the entry in APA 7, MLA 9, Chicago 18 author-date, Harvard, IEEE or Vancouver, and screens the source for retraction. It is free, with no account. The APA 7 changes above show why the record matters: up to 20 authors and a DOI written as a full link are exact facts a record holds and memory drops.
The same record gives every style: on the Cite a source page, the style menu shows one source in any of the six without a new search. A free account keeps a reference list with a style menu of its own; change it and every entry is re-set, so a brief that moves from APA to Harvard means a new menu choice, not a retyped list. In IEEE and Vancouver that list is numbered in the order sources were added, so add them in the order the paper first cites them. In MLA the page you quote is yours to add, because it is not in the source's record. Each style's patterns are on the APA, MLA and Chicago pages.
Verify references, also free, checks the finished list: each reference comes back verified, doubtful (shown as "check this") or not found, retracted papers are flagged, and "could not check" is never shown as "not found".
What it does not do: it does not choose your style, because the brief does. It builds Chicago author-date only, never notes and bibliography. And EdCitation never writes any part of a paper.
Quick questions
Is APA style only for psychology?
No. APA's own pages name nursing, business, communications and engineering, and the Publication Manual's introduction adds social work and education.
Can I write an English literature essay in APA style?
Only if the brief asks for APA. Otherwise MLA fits close reading better, because an MLA citation points to the page or line quoted.
Is APA 6 still acceptable?
Only if your instructor or journal asks for it. The seventh edition of the Publication Manual, dated 2020, is current, and it changed et al., author limits, publisher locations and DOIs.
Does EdCitation build Chicago footnotes?
No. EdCitation's Cite a source builds Chicago 18 in the author-date system only. A course that asks for footnotes wants Chicago notes and bibliography, set out from the Chicago manual.
Does the year in an APA citation have to match the reference list?
Yes. APA's author-date guidance says the year in the text must match the year in the reference entry, and only the year appears in the text even when the entry gives a full date.
