The deadline is tonight and the reference list is unchecked. This guide shows how to check references quickly before submission: six steps in thirty minutes, costliest faults first. The minutes are our own estimate for fifteen to twenty references, not a measurement.
EdCitation publishes it. Our tools check a reference against what its publisher registered, and invent none. The steps come from checklists by APA, the MLA, the Chicago Manual of Style, IEEE and the libraries of Curtin, Exeter, Karolinska Institutet and Staffordshire, read on 27 September 2026. Two free EdCitation tools, no account needed, carry most of the load: Check your paper reads the brief, and Verify references looks every entry up. A quick check finds faults; it promises no mark, and the last sections say what it cannot catch.
How do I check my references quickly before a deadline?
Work from the brief to the list, then from the list to the records, and leave the commas for last. The University of Exeter (2026) orders its referencing checklist the same way: the style first, then a full entry for every citation, then each entry's parts, its punctuation, and finally the order of the list.
| Minutes | Step | Why it comes here |
|---|---|---|
| 0 to 3 | Confirm the style and any rule about sources in the brief | Everything after it depends on the style |
| 3 to 10 | Pair citations with entries, in both directions | A citation without an entry leaves a claim unsourced |
| 10 to 16 | Look every entry up in its record with Verify references | Finds entries that are wrong or do not exist |
| 16 to 20 | Fix DOIs, dates and names from the record | The fields a marker can check in one click |
| 20 to 26 | Apply the style's key rules | Format faults cost least, so they come later |
| 26 to 30 | One final read, then save and submit | Catches what pasting and sorting broke |
With ten minutes, not thirty, do steps two and three. In our view, an orphaned citation or an entry nobody can find does more harm than a lost italic.
Minutes 0 to 3: which style does the brief ask for?
Find the sentence of the brief that names the style and edition, and any rule about sources. Exeter puts this first, since disciplines and faculties ask for different styles. EdCitation's Check your paper pulls it out, quoting the line each rule came from.
Our test brief, as Check your paper read it
Our test brief is invented, written by us, not taken from any university: 1,500 words, 10% either way, APA 7th edition, "at least eight peer-reviewed sources, most of them published in the last ten years", 12-point Times New Roman, double spacing, 2.54 cm margins, and the list on a new page. Check your paper returned nine rules, among them:
| Rule | Value it read | The sentence beside it |
|---|---|---|
| Citation style | APA 7 | "Use APA 7th edition for all citations and the reference list." |
| Word count | 1350 to 1650 words | "Write an essay of 1,500 words (10% either way) that evaluates two learning techniques covered in the module." |
| Sources | at least 8 | "Support your argument with at least eight peer-reviewed sources, most of them published in the last ten years." |
| Source dates | From the last 10 years | The same sentence |
It set aside two sentences as not checked, "Start the reference list on a new page." and "Submit a Word document by 11:59 pm on Friday."
Two rules needed correcting by hand. "From the last 10 years" loses the word "most", so it is stricter than the brief; "At least 8" loses "peer-reviewed", so eight blog posts would pass it. The sentence beside each rule is how you catch that.
Minutes 3 to 10: does every citation have an entry, and every entry a citation?
Each source cited in the text needs one entry, and the list holds nothing uncited. Curtin University Library (n.d.) asks both questions, and Karolinska Institutet University Library (2026) adds whether a reader can get from a citation to its entry without guessing.
- Print or split-screen the list, and move through the text one bracket at a time.
- Tick the entry each citation leads to, checking the first surname and the year letter by letter.
- Any unticked entry is cited where it shaped your text, or removed.
- Numbered styles: Karolinska wants numbers in order of first use, one number per source however often it recurs; IEEE (2025) forbids two references under one number.
- Personal communications such as emails stay out of the list, Karolinska notes.
By hand this fills the seven minutes; in-text citations that do not match the reference list explains how the two drift apart. The quicker route is EdCitation's free Verify references: given the whole paper, not just the list, it pairs every citation with an entry and back. With Pro ($8 a month), References from a file reads the Word or PDF file itself and marks where each mismatch sits.
Minutes 10 to 16: is every entry a real, findable source?
Look each entry up in the record it claims to come from. Verify references takes the pasted list and gives every entry one of three verdicts, verified, doubtful (labelled "check this") or not found, each with a reason; a retracted paper is flagged.
The list we broke on purpose
We set four real papers on learning in APA 7 and added two faults of our own: Kornell misspelt as "Cornell", and two digits of Roediger and Karpicke's DOI swapped. On our second run the list came back in about two and a half seconds: two verified, two "check this", none not found or retracted.
| Entry, as we pasted it | Verdict | The reason, exactly as returned |
|---|---|---|
| Cornell and Bjork (2008), surname misspelt by us | Check this | "The DOI and title are right, but the first author differs. Check the names." |
| Dunlosky et al. (2013), correct | Verified | "The DOI resolves to this record and the title matches." |
| Karpicke and Blunt (2011), correct | Verified | "The DOI resolves to this record and the title matches." |
| Roediger and Karpicke (2006), DOI digits swapped by us | Check this | "No registry holds the DOI 10.1111/j.1467-9280.2006.01639.x. The work is on record with the DOI 10.1111/j.1467-9280.2006.01693.x." |
Both faults were caught, and each reason says what to change.
When the answer is "could not check"
"Could not check" means a record source did not answer, and Verify references never shows it as "not found": run it again or open it at the source. A true "not found" has its own guide, my reference cannot be found: what now?.
Minutes 16 to 20: are the DOIs, dates and names right?
Correct each from the record, not from memory. The American Psychological Association (2020) says to copy a DOI straight from the browser, and to search Crossref when one cannot be found; Curtin wants each DOI to begin https://doi.org/.
- DOIs. Click each: a typo leads nowhere, or to another paper.
- Dates. The record's year, the same in citation and entry.
- Names. Spelt and ordered as on the article. APA lists up to 20 authors; Chicago author-date lists up to six, then the first three and "et al." (University of Chicago Press, n.d.); IEEE lists up to six, then the first and "et al."
To rebuild a faulty entry, give its DOI to Cite a source. For Roediger and Karpicke's real DOI, 10.1111/j.1467-9280.2006.01693.x, it returned:
Roediger, H. L., III, & Karpicke, J. D. (2006). Test-enhanced learning: Taking memory tests improves long-term retention. Psychological Science, 17(3), 249–255. https://doi.org/10.1111/j.1467-9280.2006.01693.x
Everything is right, the title included: the tool set it in the sentence case APA asks for. Read every rebuilt entry before it goes in.
Minutes 20 to 26: which key rules does each style check?
Check the few rules each style's own checklist puts first; tonight is not the night for the full manual.
| Style | Key rules to check tonight | Read at |
|---|---|---|
| APA 7 | Surname and initials, "&" before the last author; article titles in sentence case; journal name in full, title case, italic; volume italic; en dash in page ranges; no full stop after the DOI | American Psychological Association (2020) |
| MLA 9 | List on a new page headed Works Cited, centred; entries alphabetical; hanging indent of half an inch; the whole list double-spaced | Modern Language Association (2020) |
| Chicago 18 author-date | Year straight after the author; no place of publication for books; full page range for an article; DOI-based URL where there is one | University of Chicago Press (n.d.) |
| IEEE | Numbers in square brackets; initials before the surname; a closing full stop on each reference, after a DOI too, but none after a URL; no ranges such as "[1]–[4]" in the text | IEEE (2025) |
| Vancouver | Numbered in order of first citation; journal abbreviations as PubMed gives them | Karolinska Institutet University Library (2026) |
The styles disagree on a full stop after the DOI: APA's checklist leaves it off, IEEE's guide and Chicago's examples put one on. Exeter's Harvard checks rely on Cite Them Right, whose subscription site we could not read; see the Harvard referencing guide.
Sorting the list in two clicks
The University of Staffordshire (2025) shows the Word shortcut: select the list, then Home, Sort, by paragraph, text, ascending. Alphabetical styles only; a numbered list keeps citation order. For APA, Mechanics QA, part of Pro, checks this step against the APA 7 student paper, and common APA 7 formatting mistakes lists the usual faults.
Minutes 26 to 30: what should the final read catch?
Read the list once, top to bottom, for what pasting and sorting break. Exeter's checklist also leaves punctuation and order to the end.
- Italics, which a paste can strip.
- Hanging indent and spacing: Curtin's APA checklist asks for 1.27 cm and double spacing throughout.
- Links, set one way throughout, all live or all plain, as Curtin asks.
- The heading, on a new page if the style or brief says so.
- Leftovers: a comment, a highlight, an entry meant for deletion.
Then save, name the file as the brief asks, and leave time for the upload.
The 30-minute reference checklist
A line is done when its fix is in the file, not when you have noticed it.
| Check | What to look for | How long | Source |
|---|---|---|---|
| Style | The style and edition the brief names; rules about sources | 3 minutes | Exeter; Check your paper reads it |
| Citations to entries | One entry for each citation, same surname and year | 4 minutes | Curtin; Karolinska |
| Entries to citations | No entry without a citation; numbered in order of first use | 3 minutes | Karolinska; IEEE |
| Real records | Every entry verified; each "check this" and "not found" opened | 6 minutes | Verify references |
| DOIs | Each one opens the paper cited, in the style's form | 2 minutes | APA; Curtin |
| Dates and names | The record's year, spelling and author order | 2 minutes | APA; Chicago; IEEE |
| Style rules | The rules in the table above for your style | 6 minutes | APA; MLA; Chicago; IEEE; Karolinska |
| Final read | Italics, indent, spacing, heading, order, leftovers | 4 minutes | Exeter; Curtin; Staffordshire |
The minutes are ours, for fifteen to twenty references. With two days to spare, check your paper before you submit covers the whole paper, not only the list.
What can a 30-minute check not catch?
It can show that a reference is real and well formed, not that the source says what your sentence claims. That needs the source open beside your paragraph.
- Support. A verified entry proves the paper exists, not that it backs your point.
- Reading. Karolinska's checklist opens by asking whether you read everything you cite; if not, see I cited a source I did not read.
- Page numbers for quotations, checked only against the source itself.
- Format, in a lookup. Verify references tests an entry against the record, not its italics or capitals: our list passed as plain pasted text.
- Quality. A real source can still be too old or the wrong kind for the brief.
- The mark. No check predicts one; why did I lose marks for referencing? decodes what markers write.
Which EdCitation tools do the 30-minute check?
For tonight's most important step, Verify references is the strongest tool we know, because each verdict comes from a real record and it composes nothing. Our run shows why: it caught a misspelt surname and a mangled DOI and named the right DOI, faults a tool that generates references can create itself. Retractions are flagged, an entry it could not check is labelled that way rather than "not found", and a book absent from the publishers' index is tried in a library catalogue. Free, no account.
- Check your paper, free: turns the brief into rules you can tick, quoting the line behind each.
- Cite a source, free: rebuilds an entry from its DOI, title, PubMed ID, ISBN or web address, in any of its six styles, and screens it for retraction.
- References from a file, Pro at $8 a month: every reference in the uploaded paper checked, every citation matched to the list.
- Mechanics QA, Pro: APA 7 formatting, citations and leftovers in the file.
Not one line of your paper is written by EdCitation; every fix is yours to make. See pricing.
Quick questions
How long does a last minute reference check take?
About thirty minutes for fifteen to twenty references, in our estimate. EdCitation's Verify references returned our four entries in about two and a half seconds; the time goes on fixing.
What should I check if I only have ten minutes?
Match citations to the list, then look every entry up. A missing entry or an unrecorded reference is worse than a formatting slip.
Can I check my citations for free?
Yes. Paste the list into Verify references, or upload the whole paper to have each citation matched to the list too, free with no account.
Should there be a full stop after a DOI?
It depends on the style. APA's journal article checklist leaves it off; IEEE ends every reference with one unless it ends with a URL.
Will a reference check guarantee I lose no marks?
No. A check finds the faults it can see; it cannot confirm each source supports your sentence, and no tool predicts a mark.
