When to use IEEE style, and when to choose another

This guide is published by EdCitation, and it gives EdCitation's view of when to use IEEE style and when another style serves the reader better. The view is ours. Every fact under it was read on 23 September 2026: the IEEE Reference Guide (version 3.28.2025), the IEEE Editorial Style Manual for Authors (updated 29 July 2024), the IEEE Author Center, and four universities' own pages.

Our case in one line: in a technical paper crowded with equations, figures and part numbers, a bracketed number interrupts the sentence less than a name and a year, and the reader who needs the source goes to the list. Where the reader needs the year or the author in the sentence, another style is better. A style named by your brief, department or venue beats every argument below. The rules themselves are in the IEEE referencing guide and IEEE paper format.

Why does IEEE style cite by number?

Because it was made for the IEEE's own journals, whose sentences already carry equations, figure labels and units, and a number in brackets is the smallest mark that can lead to a source. The reasoning is ours; the documents are the IEEE's.

The Editorial Style Manual states its purpose in the first line of its introduction: "general writing guidelines for IEEE Transactions, Journals, and Letters" (IEEE, 2024). It calls its editors' material "highly technical text". The Reference Guide carries no statement of purpose at all. It opens with the rule: a citation sits on the line, in square brackets, inside the punctuation, and may be treated as a noun or as a footnote number (IEEE, 2025).

What the manual keeps out of the sentence

The Editorial Style Manual tells editors to delete an author's name beside a number unless the sentence needs it, and says a reference's date should not identify it in the text, except where the date bears on the subject (IEEE, 2024). In our reading, an IEEE citation is meant to be nearly invisible.

One sentence, two ways

A sentence with three sources, in an author-date style and then in IEEE:

• Author-date: The gain in (4) follows three earlier designs (Author, Year; Author & Author, Year; Author et al., Year), and Fig. 2 compares them.
• IEEE: The gain in (4) follows three earlier designs [2], [5], [9], and Fig. 2 compares them.

In the IEEE version, the equation number and the figure label are not lost among names. Each number is written out, because version 3.28.2025 of the Reference Guide no longer joins a range with a dash (IEEE, 2025).

Who uses IEEE style?

The IEEE's own journals and conferences, and the engineering and computing departments that adopt it for coursework. Neither IEEE document names the subjects that should use the style. The Reference Guide writes its rule on authors' names for "IEEE publications" (IEEE, 2025), and the Author Center tells authors to follow IEEE style in every part of an IEEE journal article (IEEE, n.d.). Students borrow a house style written for the IEEE's own editors.

What four universities say

Departments, not the IEEE, put the style in front of students:

• The University of Essex (2026) library page for the School of Computer Science and Electronic Engineering names IEEE as the school's referencing style.
• At Utah State University (n.d.), departments set the style points the university's thesis guide leaves open, and Computer Science requires IEEE Transactions citation in its dissertations, theses and reports.
• The Australian National University (n.d.) says the style is used in engineering and computer science.
• The University of Westminster (2026) names two common styles in its Computing and Engineering department, Cite Them Right Harvard and IEEE, and tells students to check each course or module's documentation.

The last is the warning worth keeping. Even in computing, IEEE is common rather than universal, and the module handbook decides.

When should I use IEEE style?

Use IEEE style when the brief or the venue names it, and, in our view, for technical writing whose reader follows a chain of working and turns to a source only when a step needs checking.

• Engineering and computing reports, where equations, component values and code sit in the prose.
• Project and lab reports in electronics, computing and neighbouring modules. A department may keep IEEE references but set its own page, as IEEE paper format shows.
• Conference papers, where the call for papers names the template and the style.
• Theses and dissertations in engineering and computer science, where the department sets IEEE, as Utah State's does.
• Anything for an IEEE journal or conference, whatever the writer's field.
• Any paper that leans on many sources per sentence. Five numbers stay readable; five names and years can fill a line.

When is IEEE style the wrong choice?

When the reader needs something in the sentence that a number hides: a year, a name, a page, or a note. These are our views, each with its reason.

A literature review in the social sciences

Use APA 7 or Harvard. In a review of research on people, when each study appeared is part of the argument, and an author-date citation lets the reader weigh a finding from the 1990s against last year's without leaving the page. The IEEE manual deliberately keeps the date out of the text (IEEE, 2024), which suits a journal of circuit designs and works against a review of how a field has moved. See APA 7 in-text citations, the Harvard referencing guide and when to use APA style.

Close reading of a text

Use MLA 9. An essay on a poem or a novel names the writer it reads and points to the passage. IEEE can put pages inside the brackets, as in [3, pp. 5–10], but the author still disappears from the sentence and the reader still turns to the list. When to use MLA style makes the case for MLA.

Medicine and the health sciences

Use Vancouver where the journal or course sets it. Vancouver is numbered too, in order of first citation, so the choice follows the field more than any principle. The differences, from our IEEE and Vancouver guides:

• IEEE sets the number in square brackets on the line, writes initials before the surname, italicises journal and book titles, and puts article titles in quotation marks. With more than six authors, it gives the first and "et al." (IEEE, 2025).
• Vancouver sets the number in round brackets or superscript, as the journal or course chooses, writes the surname before initials without full stops, and uses no italics or quotation marks anywhere. With more than six authors, the NLM's samples give the first six and "et al."

A nursing or health course may set APA instead, and then APA is right.

History built on archives

Use Chicago notes and bibliography if the department allows it, because a footnote can describe a letter or an undated pamphlet in full at the foot of the page, and a number in brackets cannot. EdCitation does not build notes and bibliography: Cite a source offers Chicago 18 in the author-date system only, covered in the Chicago author-date referencing guide.

A course or journal that names another style

Then that style is right, even for an engineering report. Westminster's advice to check the module documentation (University of Westminster, 2026) holds everywhere, and for a manuscript the journal's instructions for authors decide.

What does numbering cost while you write?

Two things. A reader cannot tell who wrote a source, or when, without turning to the list. And each edit that adds, removes or moves a citation can shift every number after it.

The IEEE says as much. The Reference Guide warns that editing references may mean "careful renumbering" of the list and of the citations in the text (IEEE, 2025). The Editorial Style Manual shows it happening: three works named in a note inside one entry become entries of their own, [38] to [40], and the references that held those numbers move to [41], [42] and [43] (IEEE, 2024).

Let software keep the numbers

The answer is not to number by hand. In LaTeX, BibTeX with an IEEE bibliography style builds the list in citation order and redoes it each time the paper is compiled; the IEEEtran package includes such styles. In Word or Google Docs, a reference manager's plug-in does the same job. Set it up before the first citation. How these tools differ from a citation generator is in citation generator, reference manager or checker.

Which style suits which situation?

Our summary of the sections above. A style named in the brief or by the venue overrides every row.

How do I decide whether to use IEEE style?

Stop at the first step that gives an answer.

1. Read the brief, the rubric and the module handbook. A named style is the answer. Check your paper reads a brief into a checklist, style included.
2. Writing for a conference or journal? The call for papers or the instructions for authors name the style; an IEEE venue means IEEE.
3. Check the department's own page. Essex and Utah State set IEEE at school or department level.
4. Nothing written down? Ask the tutor or supervisor.
5. Still your choice? Ask what the reader needs in the sentence. Equations and many sources per line point to IEEE; years point to APA or Harvard; the pages of a text point to MLA; footnotes point to Chicago notes and bibliography.
6. Choosing IEEE? Decide how the numbers will be kept, by BibTeX or a reference manager, before the first citation.
7. Keep one style from the first citation to the last entry.

How does EdCitation help with an IEEE reference list?

Cite a source is the best tool for building an IEEE reference, because the IEEE's own guide sends authors to the record: when an IEEE Transactions reference lacks its issue number or month, the Reference Guide says to look for them in IEEE Xplore (IEEE, 2025). Cite a source starts from the publisher's record, not from what someone typed. Give it a DOI, a PubMed ID, an ISBN or a title, and it builds the entry in IEEE, or in APA 7, MLA 9, Chicago 18 author-date, Harvard or Vancouver, and screens the source for retraction. It is free with no account, and a reference is looked up, never written. Since 23 September 2026 it dates a journal article by its issue, as the Reference Guide asks ("the volume and issue publication date"). Its pattern is on the IEEE style page.

A free account keeps a reference list. In IEEE it numbers entries in the order you add them, so add sources in the order the paper first cites them. The list downloads as BibTeX "for LaTeX and Overleaf", or as RIS for Zotero, EndNote and Mendeley, which hands the renumbering to software built for it.

Verify references, also free, checks the finished list: each reference comes back verified, doubtful (shown as "check this") or not found, retracted papers are flagged, and "could not check" is never shown as "not found". With the whole paper uploaded, every in-text citation, each [n] included, is matched to the list, and every entry back to the text.

What it does not do: it does not number the citations in your document as you write; a reference manager or BibTeX does that. It does not choose your style, because the brief does. And EdCitation never writes any part of a paper.

Quick questions

Is IEEE style only for electrical engineering?

No. IEEE style is written for the IEEE's own journals, but universities set it for computer science and engineering more widely: the University of Essex names it as the style of its School of Computer Science and Electronic Engineering, and Utah State University's Computer Science department requires it.

What is the difference between IEEE and Vancouver?

Both styles number sources in order of first citation and reuse each number. IEEE uses square brackets, initials before the surname and italic journal titles; Vancouver uses round brackets or superscript, the surname before the initials, and no italics.

Does IEEE put the year in an in-text citation?

No. The IEEE Editorial Style Manual says a reference's date should not be used to identify it in the text, except in rare cases where the date matters to the article's subject.

Does EdCitation number my IEEE citations as I write?

No. EdCitation's saved reference list numbers entries in the order you add them and downloads as BibTeX or RIS, but numbering the citations in your document is the job of LaTeX with BibTeX or a reference manager.
